This is a statement on the Data Protection Policy adopted by Hudson Kapel Ltd (‘Fleet Checks’)
Our policy is subject to regular review to reflect, for example, changes to the legislation in the Data Protection Act. All employees and staff are expected to adhere to the policy and to seek advice as and when required to do so.
Hudson Kapel Ltd needs to collect and use certain types of information about people with whom it deals in order to operate our business. These include current, past and prospective individuals and business clients, Hudson Kapel Ltd own employees, suppliers and others with whom Hudson Kapel Ltd conducts any business with. In addition, Hudson Kapel Ltd may be required by law to collect and use certain types of information to comply with the requirements of government departments. This personal information must be dealt with properly however it is collected, recorded and used – whether on paper, electronically, or other means - and there are safeguards to ensure this in the Data Protection Act 1998.

It shall be obtained only be recorded, collect, stored and used as required to verify the driver licence records with our official verification bodies such as the DVLA or any lawful purposes as evidence in law case, the records shall not be further processed in any manner incompatible with that purpose or those purposes. The information collected shall be adequate, relevant and not excessive in relation to the purpose or purposes for which they are processed, shall be accurate and, where necessary, kept up to date, shall not be kept for longer than is necessary for the specified purpose(s), and shall be processed in accordance with the rights of Data Subjects under the Data Protection Act.
All data capture, stored or otherwise should be subject to appropriate technical and organisational measures to prevent the unauthorised or unlawful processing of personal data, or the accidental loss, destruction, or damage to personal data shall not be transferred to a country or territory outside the European Economic Area unless approved by our data record provider until such measure taken ensure complete protection and security within that country or territory can provide adequate level of protection for the rights and freedoms of Data Subjects in relation to the processing of personal data (if ever applicable) Currently no data is used or transferred outside UK.
This statement was approved by Managing Director of the company and is accountable to the Board of Directors.
Therefore, Hudson Kapel Ltd will, through appropriate security management and strict application of criteria and controls:
- Hudson Kapel Ltd will ensure that any personal information is not transferred outside the UK without suitable safeguards (if applicable). Currently no data is used or transferred outside UK
- Hudson Kapel Ltd will ensure to take appropriate technical and organisational security measures to safeguard personal information at all times.
- Hudson Kapel Ltd will observe fully with all conditions regarding the fair use and collection of the information.
- Hudson Kapel Ltd will ensure that the minimum quantity of information used at any time.
- Hudson Kapel Ltd meet its legal obligations to specify the purposes for which information is used.
- Hudson Kapel Ltd will only collect and process appropriate information to execute that it is needed to fulfil our operational requirements or to comply with any legal requirement.
- Hudson Kapel Ltd will ensure that the rights of all consenting people whom information is held can be fully exercised under the Act (i.e. the right to be informed that processing is being undertaken, to access one’s personal information; to prevent processing in certain circumstances, and to correct, rectify, block or erase information that is regarded as wrong information).
